Sounds like you have a vendor that doesn't care. Could be a disconnect between the guy taking the order and the guy filling your order. That being said we always order extra just in case.
Are the jobs lost really apples to apples? If I had $1 for every time someone told us our bid was too high and then later we see a completely different sign then what we quoted. Also everyone has a different nut to crack. My overhead is not your overhead, my profit margins aren't your profit...
How much do you need to cover your personal nut for a year (rent, food, car, clothes, movies, beer, vacation, health insurance, cable.......)? Take that amount and double it, put that amount away so if the biz starts out slow you can pay your bills.
SignVox and printed workorders. We use SV until it gets past the print stage, the printed WO then follows the job until it is completed. On really large jobs we have an area for plans and drawings that everyone can reference.
When we added our new flatbed a little over a year ago we got the white / varnish option. A year later we swapped over to white / white and are glad we did it.
